REFUND & DEPOSIT POLICY

Effective Date: May 26, 2026

Zen Dynamics provides consultation, infrastructure planning, deployment services, and custom systems engineering tailored to each project’s specific requirements. Due to the customized nature of these services, the following refund and deposit policies apply.

CONSULTATION SERVICES

Consultation sessions, planning engagements, diagnostics, and technical advisory services are billed per session unless otherwise stated.

Consultation fees are generally:

  • non-refundable once the session has been completed

  • non-transferable unless approved in writing

  • credited toward approved projects when applicable

Missed or canceled appointments with less than 24 hours notice may not qualify for rescheduling or refund consideration.

PROJECT DEPOSITS

Deposits submitted for custom systems, infrastructure deployments, procurement, or project reservations are non-refundable once:

  • project planning has begun

  • hardware procurement has started

  • configuration or deployment work has commenced

  • consultation and engineering time has been allocated

Deposits may be applied toward approved project totals where applicable.

CUSTOM SYSTEMS & INFRASTRUCTURE PROJECTS

All systems and infrastructure engagements are customized to client requirements, workload objectives, and deployment environments.

Because of this:

  • pricing may vary based on hardware availability and market conditions

  • lead times may change depending on procurement and logistics

  • approved project scopes may require revised estimates or timelines

Zen Dynamics reserves the right to adjust quotations prior to final approval if component pricing, availability, or deployment requirements materially change.

HARDWARE PROCUREMENT

Hardware orders, special-order components, networking equipment, and custom-configured systems may not be eligible for refunds once purchased or allocated to a project.

Manufacturer warranties, return policies, and third-party vendor policies may apply separately.

CANCELLATIONS

Project cancellations must be submitted through:

  • email communication

  • approved contact methods listed on the website

If work has already commenced, partial refunds may not be available due to labor, planning, procurement, or engineering time already invested.

REFUND ELIGIBILITY

Refund requests are reviewed on a case-by-case basis. Approved refunds, if applicable, may be subject to:

  • processing fees

  • completed labor deductions

  • procurement costs

  • non-recoverable vendor expenses

DIGITAL & CONSULTATION SERVICES

Digital consultations, remote support, planning documentation, deployment guidance, and advisory services are generally non-refundable once delivered.

LIABILITY LIMITATIONS

Zen Dynamics is not responsible for:

  • third-party manufacturer defects

  • shipping delays

  • supply chain interruptions

  • hardware availability fluctuations

  • external software compatibility issues

  • client-side configuration changes after deployment

Clients are responsible for maintaining backups and safeguarding important data prior to infrastructure modifications or deployment work.

POLICY UPDATES

This Refund & Deposit Policy may be updated periodically to reflect operational, legal, or service changes.

Continued use of Zen Dynamics services constitutes acceptance of the current policy.
